The purpose of this position is to work with a team to manage all components of the ASHA Continuing Education (CE) Registry. This includes but is not limited to managing complex technical processes related to verifying course completion documentation from Providers; awarding ASHA CEUs; issuing CE transcripts; resolving problems related to participants earning ASHA CEUs; invoicing and processing CE Provider and Registry user payments of over $1,800,000; performing accounts receivable functions; resolving problems related to accounts, invoicing, collections and payment allocation; and awarding the ACE.
Responsibilities
- Assure accurate and timely processing of CE course information and CEU credit via scanning, importing, and/or direct data entry.
- Evaluate and approve course completion information and award ASHA CEUs to qualified participants.
- Investigate, analyze and resolve problems related to providers awarding or participants earning CEU credit.
- Process CE Registry and Provider payments; assure data entry and file maintenance processes are carried out in detail, with minimal errors, and within established timelines.
- Perform accounts receivable functions to: adjust invoices, correct un-posted payment entries, process negative payments; issue refunds and credits. Develop specifications, run, and process "clean-up" reports to ensure the payment and invoice history for CE users and Providers are accurate.
- Manage timely and accurate billing (including set up of the appropriate rates and discounts) of CE Registry users and Providers, collection of receipts for CE receivables, and notification of the CE team of how to respond to verbal and written inquiries from members, CE Providers, and others.
- Assure that permanent cumulative continuing education course records are accurately established, permanently maintained, exported correctly to outside agencies, and remain confidential. Issue course rosters to CE Providers and outside agencies. Make recommendations for improving the CE Registry database, and CE Registry processes.
- Verify, authorize for release, and transmit official CE Registry transcripts to licensing and credentialing agencies, employers, or ASHA Registry users or their designee.
- Respond promptly and with accepted customer service techniques to members', providers' and outside agencies' CE inquiries. Advise members about finding courses or using alternative processes (independent study, journal club, self study) to meet their learning needs. Develop and disseminate CE Registry marketing and technical assistance materials to help customers understand and use CE Registry services and participate in CE Providers' courses.
- Manage the ASHA Award for Continuing Education (ACE) program. Identify and verify qualified ACE recipients; award the ACE; issue notification to recipients, employers and state agencies; coordinate recipients' purchase of ACE certificate including invoicing and payment processes; transmit ACE recipient information to certificate engrosser.
- Ensure that CE revenue and accounts receivable and CE Registry policy, procedure, and programming changes are carried out in a timely and accurate manner by testing, documenting, and communicating to affected individuals and conduct ongoing system evaluation to identify problems, assess efficiency and effectiveness, interpret results, and recommended solutions.
Qualifications
Knowledge typically acquired through:
- Obtaining a bachelor's degree in Communication Disorders, Adult Education, Data or Business Management, Accounting, or a related field, or
- 2-3 years experience in cash receipts and billing functions or related area
- 2-3 years experience in continuing education, member services or related field
Scope and depth of technical skills/knowledge:
Demonstrated ability to:
- Manage a computer relational database system
- Manage a computerized accounting system with interface to member database and corresponding functions
- Develop and write specialized correspondence and technical procedures
- Use Microsoft Office, Outlook email, and relational databases at an intermediate level
- Conduct web searches and use web-related interfaces to import/export data
