If you are a Convention presenter and not a member of ASHA (and not a speech-language pathologist or audiologist), please contact registration@asha.org to receive a special registration form. Please remember that all presenters are required to register for Convention.
ASHA Speaker Service Center (For Presenters Only)
Presenters can log into the Speaker Service Center to upload and update your session handout, or to make changes to your speaker information/profile. All presenters will receive an e-mail with login and password information. Please e-mail papers@asha.org if you are a presenter and do not receive this information.
File Properties Information
It is important to enter accurate information in the file properties of your final handout document(s). ASHA's Web site search engine uses this information to display results when a search is conducted. Please see File Properties Information [PDF].
The 2009 Convention will be as paperless as possible. Presenters should upload their handouts to ASHA's Web site and are encouraged to bring a one page note taking outline which can be downloaded before or after the convention.
You may also wish to create a short note-taking handout to distribute to attendees in your session (see samples: note-taking sample #1 [PDF] and note-taking sample #2 [PDF]). If so, you may use the room capacity guidelines to determine how many handouts to bring. Room capacities are estimates only and may vary depending on the room set. Presenters are responsible for their own handouts—ASHA cannot reimburse for or duplicate handouts. Short Course attendees will receive their handouts on a CD.
Posters will be on display from 8:00 a.m. to 4:30 p.m. each day. Posters will remain in place all day, and must be removed after 5:00 p.m. After 5:00 p.m. all posters will be removed from the poster boards in preparation for the next day. ASHA cannot be held responsible for posters left on the boards after 5:00 p.m. Presenters will only be required to be present at their poster boards at the assigned time of their poster presentation. This is the time for which participants can earn CEUs.
Poster Session Boards
The board surface is approximately 4' x 8' wide and boards are made of soft fabric with aluminum frames. Materials may be attached using pushpins or velcro. Each board will have pushpins and velcro for presenters to secure their poster.
Note: No AV equipment or electrical outlets are available for poster sessions
Poster Session Set-Up Times
- No set-up on Wednesday afternoon
- Set-up times for Thursday posters: Thursday, 6:30–7:30 a.m. and take-down 4:30–5:00 p.m.
- Set-up times for Friday posters: Thursday, 5:00–6:00 p.m. or Friday, 6:30–7:30 a.m. and take-down 4:30–5:00 p.m.
- Set-up time for Saturday posters: Friday, 5:00–6:00 p.m. or Saturday, 6:30–7:30 a.m. and take-down 4:30–5:00 p.m.
- All posters must be removed by 5:00 p.m.
Suggested Materials & Tips for Poster Sessions
- Use thin/lightweight poster paper or cardboard.
- Do not use heavy board that may be difficult to keep in position on the board.
- Do not write on the display boards.
At the beginning of each day, ASHA staff will check each meeting room to ensure proper set-up of audiovisual equipment. Rooms are set for the entire day, so there may be equipment there that you did not request. Feel free to use any equipment that is already set up.
AV technicians are available if you are unsure how to use a piece of equipment. If a piece of equipment you requested is not there, please let the AV technicians, ASHA staff or student volunteer know. Find out the room capacity [PDF] of your session room. All program sessions for the 2009 Convention will be held at the Ernest N. Morial Convention Center.

Please note the following equipment is no longer available:
- No VHS players available, please convert your tapes to DVD
- No overhead or slide projectors available for 2009
- No Internet access available for sessions
As a presenter of a session offered for ASHA CEUs, you may claim credit for your own session, earning the same amount of credit as participants. For presenters of posters and technical sessions, this equates to 15 minutes of credit.

Hints for Making Great Presentations
- Be sure presentation content matches learning outcomes.
- Review your learning outcomes at the outset of your presentation.
- Use the microphone.
- Leave time for questions.
- Repeat questions so the audience can hear.
- Unless your presentation level is introductory, do not spend time reviewing basics
Start on time, end on time.
- Pace yourself to cover all the material.
- Follow guidelines for effective PowerPoint: maximum words per slide, minimum font size, recommended fonts, color schemes.
- Don’t read your slides.
- Make eye contact with your audience.
- If you do not have someone to introduce you, be prepared to introduce yourself—briefly.
- Put your complete handout/Powerpoint online by no later than October 15, 2009.
- Bring a one-page note taking outline for attendees (see samples: note-taking sample #1 [PDF] and note-taking sample #2 [PDF]).
- Find out the room capacity [PDF] of the meeting room.
Policy on Presenting
Commercialism/Marketing & Presentation Policy
Unless specifically designated, ASHA programs are noncommercial forums. The inclusion of products, services, and materials used for practice and research is encouraged when efficacy is supported by evidence. However, the presentation platform is not intended as a forum for sales or marketing activity. You must disclose any proprietary interest.
Presenters from any Association podium must refrain from overt statements or pointed humor, which disparages the rightful dignity and social equity of any individual or group.
By agreeing to present, you agree and acknowledge that you will follow the principles, guidelines, and procedures outlined in the ASHA Call for Papers.
Keep the Session on Time
It is important to start the session on time. Encourage presenters to allow ample time for questions and discussion. Sessions must end on time to allow for the next session to be set-up and ready for the published start time.
Introduce Each Presenter
Feel free to contact the presenters directly if you desire more information for your introduction or e-mail papers@asha.org to request a copy of a presenter's biographical information. Please reference the session number in your e-mail.
Stimulate Discussion
Discussion is an important part of learning experiences. If questions or comments from the attendees seem a little slow in starting, please be prepared to stimulate discussion.
