Course Reporting Overview and Resources

Accurate reporting helps ensure that the ASHA continuing education units (CEUs) that learners expect are added to the ASHA CE Registry in a timely manner.

What It Looks Like

Providers must have a system in place to collect the learner information required for reporting. Although not a required step, the Provider should try to collect and report ASHA ID numbers for those learners who request to earn ASHA CEUs. When the Provider submits reporting, ASHA CE will identify the learner in our system using the information that the Provider has submitted. Therefore, the more accurate and complete the information is, the more likely a correct match will occur in our system.

How the Provider submits participant information to ASHA CE depends on the reporting format. Many Providers submit via Excel (using .xls files); others use .csv files. To learn more about these formats, see Reporting on Course Offerings With and Without Participants.

When It Happens

Providers must submit participant reporting to ASHA CE no more than 45 days after [PDF] the course offering end date. Providers are encouraged to establish and communicate firm deadlines to learners for any required information (e.g., information on assessment, evaluation, ASHA CEU request, etc.). This will help Providers submit accurate, complete, and timely reporting.

If a participant is not included in the course offering reporting due to missing the deadline or making other errors, then Providers should direct them to submit a participant appeal.

Once learners are matched in ASHA’s system, ASHA CE will generate a course offering roster. Providers are expected to review this roster and submit changes by the deadline noted on the roster. 

How It Supports Compliance

Standard 7 requires Providers to have systems and processes in place “to accurately and appropriately capture and report learner participation and satisfactory course completion” (para 1). This includes tracking those learners who (a) meet satisfactory completion requirements and (b) indicate an intent to earn ASHA CEUs. Providers must also submit accurate reporting by established deadlines to ensure that ASHA CEUs are reflected on learners’ transcripts in a timely manner. Why It Matters

Learners who satisfactorily complete a course and indicate an intent to earn ASHA CEUs expect that these hours will be reflected on their CE Registry transcript. If learners are not accurately reported to the Registry by established deadlines, then they will not receive the ASHA CEUs that they expect in a timely manner. Inaccurate reporting can impact a learner’s CE transcript and their ability to practice and/or maintain licensure.

Reporting learners to the ASHA CE Registry is a unique benefit that Providers offer to their customers. Accurate, complete, and timely reporting enhances customer satisfaction and helps learners maintain their credentials.
